LegalRules and timelines for inbound exhibitor freight, country-pavilion logistics, freight-forwarding partners, and on-site material handling at BIEC Bengaluru. Applies to all 2026 exhibitors and sponsors.
This Shipping & On-site Logistics Policy applies to all exhibitors, sponsors and country pavilion participants sending materials to Agricon HortiConnect 2026 at Bangalore International Exhibition Centre (BIEC), Tumkur Road, Bengaluru. Visitors do not need to engage with shipping.
1. Inbound freight windows
- Build-up: 28–30 September 2026, 10:00–18:00. Heavy machinery and modular booth structures take priority on Day 1.
- Show days: 1–3 October 2026. Restocking allowed only before 09:30 daily.
- Dismantle: 3 October 2026, 19:00 onwards, until 4 October 2026 17:00.
2. Authorised freight forwarders
The Organiser appoints a panel of authorised freight forwarders for both domestic and international shipments. Exhibitors may use their own logistics providers but must coordinate vehicle entry, gate passes, and unloading slots through the official freight desk to avoid scheduling conflicts.
3. International shipments & customs
International exhibitors are responsible for export documentation in their country of origin. The Organiser's panel forwarders handle Indian customs clearance under ATA carnet or temporary import where applicable. Carnets must be issued in the name of the exhibiting company and presented at venue entry.
4. On-site material handling
Forklift, crane, manual handling, and skilled labour for booth assembly are available through the official material-handling partner. Rates and slot bookings are shared in the Exhibitor Manual sent post-confirmation. Self-handling of machinery beyond a stated weight is not permitted for safety reasons.
5. Storage
Limited empty-case and consumable storage is available on-site through the official partner during show days. Storage is at the exhibitor's risk; insurance is the exhibitor's responsibility.
6. Restricted items
Hazardous materials, live plants requiring phytosanitary clearance, perishable goods beyond declared quantities, and uncertified electrical equipment must be declared in advance and approved by the venue compliance team. Unapproved items will be denied entry.
7. Outbound shipments & dismantle
All exhibitor materials must be removed by the end of the dismantle window. Materials remaining on-site after that period will be cleared at the exhibitor's cost, and the Organiser shall not be liable for any resulting loss or damage.
8. Liability
The Organiser, Ethereal Corporate Network Pvt. Ltd., shall not be liable for any loss, theft, damage, delay or injury arising during inbound transit, on-site material handling, build-up, show days, or dismantle. Exhibitors are strongly advised to arrange appropriate marine, transit and on-site insurance.
9. Coordination
